Analytics

The Analytics tab is where you read your numbers: how many chats you ran, how many converted, your conversion rate, and how much revenue that adds up to. Sliced by date range, by config, and over time.

Everything on this tab answers four questions: how busy were you, how many leads converted, what rate was that, and what was it worth. Pick a date range at the top and every number below updates to that window. The dollar figures come from a lead value you set on each engine, which is configured over in the Engine Builder.

Date ranges

The date-range control sits at the top of the tab and scopes every KPI, the leaderboard, and the charts. There are quick presets and a custom calendar range:

  • All time: no date limit; everything you have ever run.
  • Last 7 days: the last seven days, including today.
  • This week: from Monday of the current week to today.
  • This month: from the 1st of the current month to today.
  • This year: from January 1st of the current year to today.
  • Custom range: pick your own From and To dates on the two calendar fields for any window you like.

The headline KPIs

At the top you get four roll-up numbers for the whole account, within the selected date range:

  • Total chats: your conversation volume: how many chats happened across all configs in this window.
  • Conversions: how many of those chats converted (a lead reached your funnel).
  • Conversion rate: conversions divided by chats, shown as a percentage.
  • Revenue: the headline figure: your conversions multiplied by the lead value of each config, summed across the account.

Lead value

Analytics cannot guess what a customer is worth to you, so revenue depends on a lead value: the dollar amount one conversion is worth. You set it per config: either on the engine in the Engine Builder settings, or inline in the leaderboard's Lead Value column. Once it is set, every conversion for that config is counted at that value and the revenue numbers fill in.

An engine with no lead value set uses a default of $5 per conversion for revenue display until you price it. That keeps a revenue figure on screen, but it is a placeholder. Set your real lead value on each config so the dollars mean something.

Per-config leaderboard

Below the KPIs is a table with one row per config (engine), so you can see which funnels are pulling their weight. Click any column header to sort by it. The columns:

  • Config: the engine's name. A green dot marks a config converting above your account average.
  • Platform: where the chats happen (the messaging platform the config runs on).
  • Funnel: where leads convert (your funnel / destination platform). Shows if you have not set one.
  • Chats: conversation volume for that config.
  • Conversions: how many of those chats converted.
  • Conversion rate: conversions divided by chats for that config.
  • Revenue: conversions multiplied by that config's lead value.

Chats that have no engine attached do not vanish. They roll up into a single (Unassigned) row so your totals always add up. The Unassigned row has no lead value and no revenue (there is no config to price), and you cannot edit it.

Conversions over time

Two line charts show how conversions trend across the date range:

  • Total Converted: a cumulative line, your running total of conversions, so it only ever climbs.
  • Daily Converted: conversions per day, so you can spot good and quiet days.

A filter above the charts lets you narrow the trend to a single config or a single persona, or leave it on all conversions.

Phase funnel

The phase funnel is a snapshot of where your current conversations are sitting right now. How they are distributed across the phases of their engines (cold open, warm-up, the invitation, and so on). It is a quick read on where leads are bunching up or dropping off in the flow. The phases themselves come from the engine you designed in the Engine Builder.

VA analytics permissions

You do not have to show a virtual assistant everything. Analytics is split into three independent dimensions, and as the owner you can grant a VA any combination of them:

  • Volume: the chat counts (Total chats, the Chats column, the phase funnel).
  • Conversions: conversions, conversion rate, and the conversions-over-time charts.
  • Revenue: lead value and all the dollar figures.

Each is toggled on its own. For example, you can let a VA see volume and conversions but keep revenue private. Anything outside the dimensions a VA holds is hidden from them entirely, both in the interface and in the data. You manage these grants in Team & VA access.

Things to know

A conversion is counted in the date window the chat began in: not when it later converted. If a chat starts on the last day of one window and the lead converts the next day, that conversion attributes back to the day the chat started. Keep that in mind when a tight date range looks lower than you expected.

Revenue is only as accurate as your lead values. Until you price a config it falls back to the $5 default, so cross-check the Lead Value column before you trust the revenue totals.
