Team & virtual assistants

Invite virtual assistants to help run your account, then scope exactly what each one can see and do. Down to the tabs they open, the personas they touch, and the analytics they read.

Invite a VA by email

Open the Team tab and click the invite button. Enter the assistant's email address, choose the access they should have, and send the invitation. They receive an email to create their account and join your team.

  • Invites expire after about 7 days. If an invite expires before it is accepted, ask the owner to resend it (which renews the clock).
  • You see the delivery outcome: instead of silently creating a row, FluidTalk tells you whether the email was sent, failed, or was skipped (when the email service is not configured). If it did not send, use Resend or share the invite link manually.

Roles: Owner vs Assistant

There are two roles on an account:

  • Owner: full access to everything, including the plan, billing, and the Team tab. Owners always pass every permission check.
  • Assistant (VA): scoped access. A VA can only open the tabs you grant and only work with the personas you allow. Everything else is hidden or blocked.

Permissions: what you grant per VA

Each VA's access is defined by two things: which tabs they can open and which personas they can touch.

Tab access

Toggle any subset of these modules on per assistant:

  • Dashboard: the account overview.
  • Marketplace: browse and import engine templates.
  • Persona Forge: create and edit personas and their photos.
  • Engine Builder: design and edit conversation engines.
  • API / Wiring: the Wiring Lab links and API keys.
  • Chats: view and work with conversations.
  • Docs: the in-app documentation.
  • Analytics: split into three independent dimensions (see below).

Persona scoping

You can limit a VA to specific personas using the persona-access picker. Pick the personas they are allowed to work with, and everything else is off-limits to them. Leaving the selection empty means all personas: the default, no restriction.

Analytics dimension scopes

Analytics access is split three ways, and you grant each dimension independently:

  • Volume: chat and session volume plus the phase funnel.
  • Conversions: conversions, conversion rates, and the conversion funnel.
  • Revenue: revenue figures and lead values.

For example, you can give a VA Volume and Conversions while keeping Revenue private. See Analytics for what each dimension contains.

Manage invites

While an invitation is still pending you can:

  • Resend the invitation email. Resend is cooldown-limited (the button shows the remaining wait), and each resend renews the 7-day expiry, so a previously-expired-but-still-pending invite works again.
  • Cancel a pending invite to withdraw it before it is accepted.
  • Edit permissions on a pending invite: the changes apply automatically as soon as the assistant joins.

Revoke a VA's access

Open an active member and click Revoke to remove their access. Permission changes on an active member save instantly to the assistant's next session.

The team audit log

The Activity Log records who did what on your team, most-recent first. Tracked actions include:

  • Invite: a VA was invited.
  • Accept: a VA joined.
  • Cancel: a pending invite was withdrawn.
  • Resend: an invitation email was re-sent.
  • Expire: an invite lapsed past its expiry.
  • Revoke: a VA's access was removed.
  • Permission change: a VA's tabs or persona scope were edited.

Registration consent

When a VA accepts an invite and registers, accepting the site rules is required to create the account. The newsletter opt-in is optional.

Revoking removes access: it does not delete the login

Revoking a VA only removes their access to your account. It does not delete their login. The VA simply loses access immediately, and you can re-invite them later. Any work they created (personas, engines, chats) stays in your account.

Your plan caps how many VAs you can have

The number of virtual assistants you can invite is limited by your plan. See Plans & billing for the per-tier VA allowance.
